3 Ways Docebo Makes Knowledge Sharing Simple & Seamless

• 3 min read

The knowledge within your organization is useless if it cannot be found easily at the point of need.

Picture this: you’ve been assigned a task by your manager and are eager to make a start but you just need to find a few pieces of information first. You search around, ask a few people and do a bit more searching.

You eventually find what you need, but it’s taken half an hour and you still haven’t started actually working.

Sound familiar? If so, you’re not alone.

For example, employees at big companies spend, on average, 38 minutes searching for a document

Getting access to the right information at work is never as straightforward as it may seem, with knowledge capital more than likely scattered within whatever file sharing application is being used. It’s a stark difference to any query you have in your personal life, where you could potentially find out how to fix your refrigerator in 30 minutes by watching a video on YouTube.

The knowledge within your organization is useless if it cannot be found easily by those who need it, when they need it most. You might have a comprehensive learning program in place, but if it isn’t simple to use and delivering a great user experience, it’s useless in equipping learners with the right knowledge. This is especially true when you consider that 1% of a typical work week is all employees have to focus on training and development. In reality, we are more likely to learn through on-the-job interactions with peers, teammates, and managers.

Docebo’s Coach & Share module facilitates how people learn in real life, where learners and experts can join forces to create best practices and curate knowledge capital in an easy-to-access environment.

Here are 3 ways Docebo makes knowledge sharing simple and seamless:

1. Content is Easily Discoverable

Docebo’s search function works in a similar way to your typical Google search.

Docebo’s underlying artificial intelligence (AI) analyzes all learning assets and training materials (PDFs, images, videos, podcasts, articles, etc.) to understand what content is covered, even if those terms aren’t explicitly referenced. This means search results in Docebo are immensely more relevant.

Previously, content could only be found by entering the title, description or the tags that were manually entered. Now, learners are encouraged to use the search function for whatever query they have to gain quick access to learning materials.

2. Sharing is Part of the Experience, Not an Afterthought

The Coach & Share module is available both on desktop and in our mobile app to encourage knowledge seekers to actively create content and engage with the right subject matter experts in the flow of work, whether they are in the office or out in the field.

For example, a worker might shoot a quick video on their phone about an activity they are carrying out which would be useful for others to know about. That video can then be uploaded to the platform where a subject matter expert is notified and makes a few notes before approving it and publishing it for the whole company to view.

When new content is uploaded to the platform, the Invite to Watch functionality, which leverages the platform’s AI, automatically produces a list of users who have shown an interest in similar assets in the past. This ensures relevant content is served up to those who will find it the most valuable.

3. You Can Review Content to Ensure Only the Right Information is Shared

One of the hesitations with knowledge sharing is the potential of negative consequences when the wrong information is passed around.

As mentioned above, you can choose to have your assigned subject matter experts review and approve content before it is published. Once content has been published, any user can ask questions about it, which triggers the coaching process, whereby experts (and other users, if you have granted them permission) can respond and evaluate the responses of others.Ready to make knowledge sharing simple and seamless in your organization?
