I also heavily use Wikis, especially when the desired result is a set of web pages. I recommend pbWiki as an easy to use Wiki solution. To do that, you must first agree on a tag to use to indicate it's part of the work teams' effort. The next level of my better memory was taking notes.

Give exhibitors a wiki page to spread out their description and to add special offers, schedules of booth presentations, and codes for door prizes. Continue to maintain it.
