Email template: Invitation to sales training

Driven by targets and closing deals, your sales reps don’t like to be distracted. And, for many, training will be classed as exactly that, “a distraction.”

The truth, however, is that training is about the opposite. It gives employees the chance to step away from the distractions of their day-to-day job. And it allows them to focus on improving specific skills that will help them do that job better.

When it comes to sales, there’s a clear link between a well-designed and engaging sales training program and better business outcomes.

We know this. But to get buy-in from your sales team, they need to know it too.

Here’s where a good sales training email template comes in. Besides providing factual information to raise attendance rates, it’s also a chance to demonstrate a personal ROI for your employees and, in turn, raise completion rates.

What to consider when sending a sales training invitation email

A good sales training invitation email isn’t just about this content. It’s about the delivery too. With that in mind, your checklist should consider the following four components:

1. “Who”

In most cases, your sales training email invitation will be sent by your sales manager. And it will either go to your entire sales department or to one or more of its sub-teams (for example, a specific division or location).

Coming directly from your team lead reinforces the sales-specific focus of your training. It also offers a strong endorsement of the relevance and importance of the course. After all, your sales manager is someone your reps will know personally, and respect for their expertise in the field. So an invite from them carries added weight.

That said, if your sales team is scaling and the training forms part of a wider HR initiative (onboarding or compliance, for example), it would be more relevant coming from your HR team or HR manager.

2. “Why”

Focused on quotas and reaching out to customers, your sales reps will need a meaningful reason to engage with your training. And not just view it as a tick-box exercise.

To address this, your sales invitation email needs to explain explicitly why training matters at an individual, team, or company level. So be clear about how training can be applied on the job.

For example, will they learn how to better follow up with customers? Or, how to use a new tool that will help them with XYZ? Is there an expert who will share best practices? Or, will they work in teams on a fictional project?

As well as providing this detail, it may help to provide some compelling contextual information. This could take the form of stats from previous courses or a quote from the course leader and/or previous course attendees.

It’s also important to be clear about why training is taking place now. Is there a particular business or customer need that’s recently emerged? A new product or feature that’s about to launch? Or a different strategy being trialed?

When it comes to explaining the “why,” you need to provide a clear element of compelling detail. But not overwhelm recipients with too much information. So keep it brief.

3. “What”

Of course, the practical details surrounding your sales course are just as important as the “softer” aspects of it. Using sales training software will help you organize and manage much of this. But to minimize follow-up questions from attendees, make sure to include all of the information your learners need to know to access and complete their training.

Here’s where having a sales training email template is essential. Rather than having to remember all of the details for every different course in your sales training essentials package, a sales training email template does the remembering for you.

Here’s a summary of the essentials:

  • Course name
  • Date (if relevant)
  • Deadline/s (if relevant)
  • Format (for example, synchronous or asynchronous, face-to-face or online)*
  • How to access and complete the course
  • What preparation, if any, is required
  • Whether it’s mandatory or optional

*Remember, salespeople often work in shifts. And time is precious to them. So the format of the course will have a big impact. If it’s asynchronous, online training, let them know whether they need to complete it in their own time or if they can work on it during their shift. If it’s live, synchronous training, can they access it online, or do they have to attend in person?

Which brings us to…

4. “When”

It’s important to get the timing of your training invitation email right. But what does “right” look like?

Well, ideally, it’s about getting the right balance. Send your email too far in advance, and it will fail to resonate and be forgotten. Send it too late, and it won’t give reps enough time to reschedule potentially conflicting customer calls and meetings. So pick a date in between and then use reminders to keep training front of mind and on track.

How to use your sales training announcement template

Your sales training announcement template is designed to help you turn around your training announcement quickly and with minimal fuss. But it is just a template. So, before you press “send,” you’ll need to fill in the blanks.

And that means:

  • Adding factual information about the course
  • Updating the sender information
  • Providing the value proposition one-liner (the “why”)
  • Adjusting the tone to suit the culture of your company or the tone of voice of the person sending the email
  • Deleting anything that isn’t relevant.

A template is a blank canvas. To make sure your sales training announcement email resonates with your reps, you need to do a little more than just populate it with factual information. Adjusting the tone and the content to suit the culture of your organization will help better engage your audience.

Invitation to sales training email sample: Self-paced, online learning

Email subject line: Training invitation: Selling the Proposed Solution

Dear Emma,

As part of the ongoing development package we provide all of our sales reps, you are invited to complete a ‘Selling the Proposed Solution’ online course. The aim of the course is to help you grow sales by better understanding (and then meeting) the needs of your customers.

This is a valuable and practical course that’s linked directly to increased conversion rates. In fact, we’ve been running this particular module for three years now, and every year the number of cross-sells has risen by 20%. Not bad for just two hours’ training!

It should take approximately two hours, but it can be completed in phases (you don’t have to finish it in one go, unless you want to). Please schedule time within your working week to focus on it.

To complete the training:
