Meeting New Content Demands with Reduced Staff

A Case Study with Allina Health

When the Covid-19 pandemic hit, Allina Health’s content team was already operating with reduced staff. Suddenly, content demands for the hospital system’s 11 hospitals and 100+ clinics in Wisconsin and Minnesota increased exponentially.

Instructional Design Manager Deborah Hardison leads a team of 22 content authors, instructional designers and supervisors in creating, managing and delivering content to Allina Health’s individual sites and partners. Hardison estimates that she and her team have created more than 200 pieces of content directly related to Covid-19 over the course of the pandemic, from cleaning protocols to testing procedures to vaccine administration training.

“We were down a few employees to begin with, so we simply didn’t have enough FTEs to do what was being asked — let alone on a rushed timeline,” explains Hardison.

Centralizing Allina Health’s content management, implementing a standardization methodology, and leveraging Xyleme to simplify reuse and personalization (including across different brands) has allowed the instructional design team to easily personalize content for Allina Health’s individual job sites.

“I estimate we have cut content development time by 66% simply by being able to easily reuse what’s already been created in Xyleme,” says Hardison.

“”I estimate we have cut content development time by 66% simply by being able to easily reuse what’s already been created in Xyleme,” says Hardison.

“It’s because of Xyleme that we’ve been able to not only survive, but thrive.”

Because Allina Health had centralized all of their content with Xyleme, they ready to pivot to meet new content demands as they arose — even on tight turnarounds with reduced staff.

As organizations are increasingly having to do more with smaller teams, due in part to record employee turnover across the U.S., the right technology can be a major driver of success for your enterprise content strategy and your ability to meet new content demands as they emerge.
