If you choose By author , Word automatically assigns each person who comments on the document a different color. However, if you send the document to someone else, they will see whatever color their copy of Word is set to display. So get control of your balloons, and get a good review of your document.

It seems that he had sent out a document for review. He had carefully followed the procedure for protecting the document for tracked changes, and he had sent it to four people. When the copies came back, every change was marked as coming from "Author." On most documents, that tool is grayed out as unavailable.

In training documents and manuals, we often have to tell the reader what will (or would) happen if they do (or did) a certain action. If you press cancel, the document will not be saved. If you pressed cancel, the document would not be saved.

Endless confusion resulted when she tried to discuss editorial changes with authors--Is that on page 2? Acrobat picked this number up from the desktop publishing software used to create the document. But how do you discuss your comments with an author who is looking at a printout that has the "logical" page numbers on it?

They are writing their corrections on a printout and later making the corrections to their document. I recently taught a group of accountants who each had two wide-screen monitors set up in portrait orientation so that they could view two legal-size documents side by side. Do you fax or email or walk your documents around for review?
